We may change this Policy from time to time, so please check this page occasionally to ensure that you are happy with any updates.
This Privacy Notice explains how we hold and store the Personal Data you provide to us, including (but not limited to) contact names, email addresses, telephone numbers, site addresses and contact details, bank information, and business details.
The Personal Data we retain is necessary for us to provide our ongoing services, to fulfil the contractual obligations we have with you and your company, and to meet our legal obligations.
How we collect your Personal Data
We collect your Personal Data from your first contact with us or when you first use our services.
We may also collect data from reliable external sources. If applicable, we will notify you of the source when first contacting you and provide you with the option to unsubscribe from further contact.
How we store and protect your Personal Data
We operate a security programme designed to protect the Personal Data stored in our systems from unauthorised access and misuse. Personal Data may only be accessed by authorised persons within our organisation, or by third parties who are required to assist in delivering our services or meeting our obligations.
We will not pass on your data to any other companies or third parties without the express permission of the data holder.
How long we keep your Personal Data
We will only keep your Personal Data for the purposes outlined in this Notice. When those purposes have expired, are no longer relevant, or you withdraw your consent (and we have no other lawful basis to use the data), we will delete it.
In the meantime, we will continue to use your Personal Data as set out in this Notice. We take your privacy seriously and will only use your information to administer your account and provide the products and services you have requested from us.
Your rights of access to your data
Under the UK GDPR, you have the right to obtain a copy of the Personal Data we hold about you free of charge. If you believe that any information we hold is incorrect or incomplete, please contact us. Any data found to be inaccurate or incomplete will be amended promptly.
We may request proof of identity before releasing information and may be unable to provide access to certain Personal Data in some cases—for example, where disclosure would reveal Personal Data about another individual or where legal restrictions apply.
Updating your Personal Data
If you inform us that we are holding inaccurate Personal Data about you, we will correct or delete it promptly, subject to any statutory provisions—particularly those relating to accounting, claims processing, or mandatory data retention, which may prevent deletion or anonymisation.
Erasure Rights
You have the right to request the deletion or removal of your Personal Data if you believe there is no compelling reason for its continued processing.
Your right to object
Under the UK GDPR, you have the right to object to the processing of your Personal Data based on grounds relating to your particular situation. If you object, we will stop processing your Personal Data unless:
- there are compelling legitimate grounds for the processing which override your interests, rights, and freedoms; or
- the processing is required for the establishment, exercise, or defence of legal claims.
Your right to complain
You have the right to complain to the Information Commissioner’s Office (ICO) if you believe there is a problem with the way we are handling your data.
